Laptop Transition and Return Policy

 

Transition Plan:

To ensure a seamless rollout, IT will initiate a phased transition process and communicate with employees regarding upgrade schedules and required actions in advance.

This policy aims to enhance security, improve asset tracking, and facilitate efficient management of company resources.

Employees will have sufficient time to back up their data and return old devices to ensure a smooth and secure transition during laptop upgrades.

 

Policy Statement:

Effective immediately, IT will implement a new laptop transition and return policy. Under this policy:

1. Laptop Replacement Process:

      • Employees scheduled for a laptop upgrade will receive a new laptop upon turning in their old device.
      • IT will hold the old laptop for two weeks without deleting data.
      • Employees can retrieve or save files from their old laptops during the two weeks by scheduling an appointment with IT.
      • After the two-week transition, IT will proceed with data deletion and repurposing of the old device.

 

2. Data Backup Responsibility:

      • Employees are responsible for ensuring all necessary data is backed up before turning in their old laptop.
      • IT will provide guidelines and support for data backup, but employees are accountable for completing the process within the allotted timeframe.

 

3. Appointment and Provisioning:

      • Employees must schedule an appointment with IT to receive their new laptop and turn in their old device.
      • The provisioning process may experience delays depending on appointment availability and device readiness.

 

4. Compliance:

      • Employees who have received a new laptop must return their old device as part of compliance requirements.
      • Failure to return the old laptop within two weeks of receiving a return notification may result in delays or restricted access to campus resources.
      • Exceptions to this policy will be reviewed by the IT department on a case-by-case basis.
