Interlibrary Loan Borrowing Policy

Interlibrary Loan (ILL) policies procedures are predicated on the assumption of mutual reciprocity among libraries.  This includes strict adherence to the Lending Library’s use guidelines, particularly loan due date.

Current CSUF Students, Faculty, and Staff

Definition of an ILL Requestor: This service is available to all currently enrolled CSUF students, staff and faculty who are registered with the Pollak Library.   Interlibrary Loan requests will not be processed for patrons with a delinquent status with the Library or whose registration has expired..

Alumni Association Members, Courtesy-Card Holder, Special Borrowers

Interlibrary Loan services are not available to Alumni Association members, courtesy-card holders or other special borrowers.  These persons are encouraged to apply for interlibrary loan privileges at their local public library.

SUBMITTING AN ILL REQUEST

Requests are submitted electronically using CSU+ and/or ILLiad.

CSU+:  Eligible patrons will need to use OneSearch and must be logged in for the request option to appear for available items.

ILLiad:  Eligible patrons will need to be logged in to ILLiad and manually submit the details of the needed item.

ITEMS AVAILABLE FOR LOAN

Books, some dissertations, journal articles and microform can usually be borrowed/photocopied through interlibrary loan.  We can try to borrow other material types, but there are items that we are not always able to obtain.  Materials may not be borrowed for class reserve or other long-term use.

COSTS

The Pollak Library assesses no charges for ILL borrowing privileges provided that the lending library assesses charges under $30.  Requestors are notified in advance when payment exceeds $30. is required by the lending library.  ILL places the request following receipt of prepayment by the patron for the amount in excess of $30.

REQUESTOR NOTIFICATION

Articles are delivered electronically.  Patrons will receive an email when the article is available detailing how to retrieve the article.

Patrons may choose to pick up loans from the Library Circulation Desk, located on the 1st floor of Library South or from the 24/7 Library Lockers.  Patrons will receive an email when items are available for pick up.

RENEWALS

Renewals are not permitted for CSU+ materials.  If a book is needed longer than the time permitted by the lending library, please submit another request for the same item and ILL will try to obtain a second copy from another lending library.

ILLiad renewals are only granted if approved by the lending library.  Renewal requests may be submitted via your ILLiad account.  Renewal requests must be made before the due date.  Renewals made on the due date and after will not be permitted.  If a book is needed longer than the time permitted by the lending library, please submit another request for the same item and ILL will try to obtain a second copy from another lending library.

OVERDUE ITEMS

CSU+ overdue notices are generated in the following manner and are delivered via email:

  • One day past due: 1st overdue notice.
  • 30 days past due: 2nd overdue notice.
  • 60 days past due: 3rd overdue notice.
  • 90 days past due: bill for replacement.

ILLiad overdue notices are emailed weekly.  After the third overdue notice, the requestor’s ILLiad account is blocked, a hold is placed on the requestor’s Library and University records, and a $25 “far overdue due” fine is assessed.  The patron is responsible for payment of any fines/fees assessed by the lending library as a result of returning the material late.

LOST ITEMS

The requestor must pay for the replacement of the lost book.   Replacement charges are assessed by the lending library and typically range anywhere from $65 to over $200. depending on the material borrowed.

DAMAGED ITEMS

Interlibrary loan materials must be returned in the same condition as that which they were received.  Interlibrary loan checks the condition of all items it processes for use by our patrons and notes any damage found.  Examples include:      

  • Any lead, ink, or highlighter markings
  • Stains of any kind
  •  Pet chewed covers or spines
  • Torn or cut pages
  • Folded page corners
  • Liquid damage

The lending library is notified of the damages and they will assess the necessary repair costs for their materials.  Patrons returning the damage materials are billed for the repairs and/or replacement of the item.

COPYRIGHT LAW COMPLIANCE


The copyright law of the United States (Title 17, United States Code) governs the making of photocopies and other reproductions of copyright materials.

Under certain conditions specified in the law, libraries and archives are authorized to furnish a photocopy or other reproductions.  One of these specified conditions is that the photocopy or reproduction is not to be “used for any purpose other than private study, scholarship, or research.”  If a user makes a request for, or later uses, a photocopy or reproduction for purposes in excess of “fair use,” that user may be liable for copyright infringement.

The institution reserves the right to refuse to accept a copying order if, in its judgment, fulfillment of the order would involve violation of copyright law.
